A production-ready LED badge brief should separate front artwork from product construction and packaging. Send an editable logo or text file, mark the viewing direction, define any variable names and explain how each badge will be distributed. This reduces ambiguity before sampling.

Direct answer: use vector artwork where available, keep important text away from the housing edge and identify the top orientation. For variable names or multiple designs, provide a controlled list with one file name or row for each version. Packaging should be specified as bulk, individually protected or event-kit ready.

Prepare artwork that remains readable

Small illuminated products reward simple visual hierarchy. Use a bold logo, short name or clear icon rather than fine lines and long paragraphs. Mark the intended illuminated area, background treatment and any parts of the artwork that must remain opaque or transparent. If a reference image is only for direction, label it separately from the final production file.

Control multiple names or designs

For staff badges, graduation programs or segmented campaigns, provide a spreadsheet or numbered file list that connects each name or graphic to its quantity. Freeze spelling and capitalization before approval. A last-minute replacement name should be handled as a controlled revision, not sent in an unrelated chat message.

Match packaging to distribution

Distribution routePackaging questionInformation to provide
Event hand-outHow quickly must staff distribute the units?Grouped quantity, labels and opening method
Staff or delegate packIs each badge assigned to a person?Name sequence and pack identification
Retail or merchandiseWhat must the buyer see before opening?Brand copy, barcode, warnings and market language
Direct parcel fulfilmentCan the unit withstand the delivery route?Protective pack, dimensions and address-label area

Keep product and artwork approvals connected

The approved artwork should name the badge model, attachment, power format and light program. A logo approved on one housing is not automatically approved on a different shape or illuminated area. Packaging artwork should follow the confirmed product and accessory count so dimensions and required copy remain accurate.
